Terms and Conditions

 

General

The booking will be deemed to have been accepted from the person named as 'lead name' on the email booking request or stated as such in any telephone booking. A binding contract between us (Pen y Bont Farmhouse and the lead name) will come into existence once we receive your deposit, any other members of the party will be deemed to be guests of the lead name and his/her family. The contract shall be subject to English law and we both agree to submit any dispute to the exclusive jurisdiction of the Courts of England and Wales. In all cases these Terms and Conditions form the basis of your contract.

Deposit

A booking for a holiday will become firm when a deposit and booking form has been received, up to that time it will be a provisional booking, and provisional bookings are normally held for a maximum of 4 working days.

Confirmation

We will confirm your booking via email once your deposit has been received. Please contact us if you have not received confirmation within ten days of sending your deposit.

Payment

The full balance of the total holiday cost will be due and payable six weeks before the holiday begins.  For bookings made within 6 weeks of your holiday start date you pay the full balance when you make your booking. If the full balance is not paid on time, we reserve the right to cancel the holiday booking, in which case the deposit will be forfeit.

Cancellation

Let us know as soon as possible if you have to cancel your holiday.  Cancellations prior to 6 weeks before the commencement date of the holiday will not be liable for the balance but will be liable for loss of the booking deposit. We may at our discretion refund your booking deposit or transfer your deposit to cover another period if we are able to relet your holiday. In the event of a cancellation within 6 weeks of the commencement date of the holiday, you are still liable for the payment of the entire balance.

Number in your party

It is a condition of your booking that the number of people in the property must not exceed the agreed number on the booking form. Only the people named on the booking form are entitled to reside in the house, failure to comply with these conditions will result in your being asked to leave immediately.

Group/party bookings

Pen y Bont Farmhouse caters primarily for family holidays and walking groups and unfortunately cannot accept single-sex groups and/or younger parties, except by special permission of the owner.

Arrival and departure

Please bear in mind when making travel arrangements that access to the property on the day of arrival is after 3pm, and on the final day, departure must be prior to 10am. This is essential to allow adequate time for thorough cleaning and preparation of the property for your stay. At peak times guests are often arriving and departing on the same day and the property needs to be cleaned, and the beds made up for the next guests between these hours. 

Access to the House

Important: Don't forget to take your allocated keysafe access code with you to ensure that you can get in. The keysafe can be used throughout your stay to allow any members of your party to come and go.  You must leave the key in the keysafe on departure.

Damage to the property

The Hirer is responsible for the farmhouse and undertakes all reasonable care of it and to keep it clean. We accept that breakages do happen and ask that you let us know, to enable us to replace small items free of charge, so that our next guests are not inconvenienced. We reserve the right to make a charge for more substantial damage. In the case of substantial breakages, damage, or a requirement for excess cleaning, or repair work needed to be carried out as a direct result of misuse, guests will be charged. The “Lead name” on the booking form is deemed responsible for their party.  We retain the right to enter the cottage at any reasonable time to carry out repairs deemed necessary to the property or equipment.

Noise

Please respect your neighbours on the campsite next door.  In particular, we ask that you do not make excessive noise at night, and do not make any loud noise (music or loud talking) outside, after 10.30pm. Failure to comply with this may result in your being asked to leave the property and no refund shall be due.

Availability

Your booking is accepted on the basis that the property will be available for use on the agreed date. In the event that this is not possible (see below), the owners reserve the right to cancel your booking. In this event, we will endeavour to offer you an alternative week at the property. If we cannot do so or if you do not wish to accept the alternative we offer, we will refund all monies you have paid to us in full.  In this case where any cancellation or change results, our liabilities are limited to offering you an alternative week, or full refund as set out above. We regret we cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change.  Circumstances in which the property might be unavailable for use on the agreed date includes: unavailability of the property due to loss of or significant damage of the property (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage, change of ownership of the property, unavailability of services or utilities (eg electricity or water supplies down), riots or civil strife, industrial action, natural or nuclear disaster, break-in, criminal damage, war or threat of war, actual or threatened terrorist activity or any event beyond the owner's control resulting in the property not being habitable.

The owners have the right to refuse to hand over accommodation to any person(s) who, in our reasonable opinion is not suitable to take charge of it. If, in the reasonable opinion of the owners, any person(s) is not suitable to continue the holiday because of unreasonable behaviour, damage to property or danger or significant annoyance to others, the contract may be terminated, in which case we will have no further liability. In this event, you will remain liable to pay the hire price and no refund shall be due.

Health and Safety

The proprietors have taken all reasonable steps to ensure your health and safety at the property, including provision of a detailed risk assessment, which is provided at the property and should be read and adhered to by all guests. A summary of the important safety information is also included in the information pack at the property. It is the responsibility of all guests and a condition of booking that guests adhere to the requirements of the safety information. This includes no smoking at the property, appropriate precautions to be observed when making use of the wood burning stoves and barbeque, and care/control of children and pets in the grounds. Note that whilst guests are welcome to explore the grounds, you do so entirely at your own risk. The proprietors cannot accept any responsibility for any loss, damage or injury caused to anyone or their property. The use of the facilities shall be at the sole risk of the persons using them. The owners cannot be held responsible or accountable for any circumstances over which they have no control, which a guest may consider has had a detrimental effect on their holiday.

Wheelchair/disabled persons

To ensure the accommodation booked is suitable for visitors with a disability, it is essential that all booking applications from parties including people with special needs give us written details of those needs.

Bed Linen

Bed linen is normally provided for the number stated and agreed in the party (which may be up to 11 people); this will be sheets, duvet covers and pillow cases and hypoallergenic duvets and pillows.

Smoking

All our cottages are strictly no smoking. If anyone is found to be smoking inside the properties the contract will be terminated, in which case the group/party may be asked to leave. In this event, you will remain liable to pay the hire price and no refund shall be due.

Pets

Pets are not allowed upstairs at any time, and should be supervised downstairs and kept off the furniture. Guests must clear up after their pets.

Your vehicles and personal belongings.

Your vehicles and their accessories and contents are left entirely at your risk. The owners will not be responsible for any loss or damage from or to any vehicle or any personal belongings from any cause whatsoever.

Any shortcomings

Please notify any shortcomings with your property to us immediately so that remedial action, if appropriate, can be taken.

Personal holiday insurance

We do not operate any scheme of cancellation or travel insurance and you should obtain your own insurance cover for the holiday.
